Populating Distribution Lists in Outlook Exchange Email
Distribution lists allow you to easily manage contact details and send messages to multiple contacts at once. Owners of a distribution list can populate the list with their Hosted Exchange Email accounts using Outlook® or Outlook Web App (OWA). OWA supports Exchange 2010 only.
NOTE: You cannot manage distribution lists with Outlook for Mac 2011. If you're using Outlook for Mac 2011, we recommend using Outlook Web App (OWA) to manage your distribution lists.
NOTE: Before you can populate a distribution list in Outlook, you need to create it in the Hosted Exchange Email control panel. Only owners of the distribution list can manage it. For more information, see Managing Hosted Exchange Email Distribution Lists.
To Populate a Distribution List in Outlook 2007
- Open the address book in your Outlook account.
- From the Address Type list, select Global Address List.
- Double-click your distribution list name.
- Click Modify Members, and then click Add.
- From the Address Type list, select Global Address List.
- Double-click each contact you want to add to the distribution list.
- Click OK.
To Populate a Distribution List in Outlook 2010
- Open Contacts in your Outlook account.
- In the ribbon menu, click Address Book.
- In the Global Address Book, double-click your distribution list name.
- In the Members section, select email addresses to add or remove members of the distribution list.
- Click OK.
To Populate a Distribution List in Outlook Web App (OWA)
- From the Options menu, select See All Options.
- Click Groups.
- In the Public Groups I Own section, click Edit for the distribution list you want to modify.
- In the Membership section, select email addresses to add or remove members of the distribution list.
- Click Save.
